HR Assistant (Hilo)

Summary/Objective
Under general direction from the HR Director, the HR Assistant job entails providing a comprehensive administrative support to day-to-day operations of human resources ensuring the efficient delivery of recruitment processes and the accuracy of employee data records. HR Assistant liaises closely with human resources department and other departments throughout the organization providing a customer focused and effective HR support service to the organization to achieve the organization goals and objectives.

Essential Functions

  1. Heavy data entry in HRIS and clerical support in Microsoft Word and Excel.
  2. Preparing and posting job advertisements, screening applications, arranging interviews, participating in selection process, and administering pre-employment tests as required.
  3. Providing general administrative support such as preparing correspondence, forms and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines, and taking down minutes as needed.
  4. Establishing, maintaining and controlling personnel, employees, recruitment relations records, files, correspondence, reports, and organization charts.
  5. Providing assistance in hiring process activities such as posting jobs on job board or website, reviewing applications and maintaining a spreadsheet on tracking an applicant.
  6. Maintain a safe and secure working environment
  7. Organize workflow to meet deadlines.
  8. Ability to work safely and follow all safety policies and procedures.
  9. Wear all required Personal Protective Equipment (PPE) to ensure a safe work environment.
  10. Clean and respond to any spills immediately.
  11. Follows all Sanitation Standard Operating Procedures (SSOP), Good Manufacturing Practices (GMP) and procedures that relate to sanitation, food safety and pest control.
  12. Sweep and clean to maintain required level of cleanliness.
  13. Participate in daily Flex & Stretch.
  14. Perform other duties as assigned.

Supervisory Responsibility
This position has no supervisory responsibilities.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work
This is a full-time, non-exempt (hourly) position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Qualifications

To perform this job successfully, the individual must be able to perform each essential duty and responsibility in a safe and satisfactory manner.  Work under minimal supervision, apply logic and reasoning to solve complex problems, use sound judgement and discretion in performing work duties. Requires excellent written and oral communications skills. Ability to listen, persuade, and influence skills in dealing with all levels of employees, clients and vendors.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This is largely a sedentary role. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary.

Required Education and Experience
High school diploma

Bachelor’s Degree preferred and/or in process or equivalent experience of 3 years in an administrative or office setting

  3. Must have attention to detail, excellent customer service, and front of the line support
  4. Ability to balance and prioritize multiple tasks
