Credit Clerk – WIT (Hilo)

Summary/Objective
Maintain the daily delivery schedules and dispatch the drivers as delivery calls are completed. Maintain customer database with current information. Clear and concise communications with department managers, employees and company customers, including keeping customers appraised as to company schedule and requested lead-times. Provide accounting with billing information. Prepare invoices for processing. Process all incoming payments and coordinate product pick-ups at will-call.

Essential Functions

  1. Processes returned or refused product
  2. Identifies and inspects all returned product
  3. Determines whether to restock, replace, deny, or destroy product
  4. Completes the determined course of action
  5. Picks, packs, and prepares replacement product if required
  6. Sends confirmations of all transactions to Sales and Purchasing Department
  7. Manages system and physical inventory
  8. Receives and restocks returned product in appropriate warehouses
  9. Performs inventory adjustments and transfers records
  10. Sends confirmations of all transactions to Sales and Purchasing Department
  11. Conduct cycle counts; check for discrepancies for high ticketed items.
  12. Print shortfall list and stock checks. Make corrections as necessary.
  13. Verify cycle count for shrimp/lobster cage
  14. Combine any dry or chill “damages” and palletize for pick up
  15. Conduct and monitor proper inventory rotation “First In First Out (FIFO)”
  16. Complete transfer tickets for deliveries to ensure proper arrival, storage and delivery of items
  17. Complete invoicing paperwork to ensure proper arrival, storage, and delivery of items.
  18. Adjust inventory into damage warehouse; collect price from buyer; create/update damage warehouse list every 2 weeks
  19. Complete stock checks; correct inventory
  20. Maintains customer relations
  21. Acts as the primary contact for assigned customers
  22. Provides customer service to customers and vendors via email and over the phone
  23. Stays updated on product knowledge
  24. Performs Service filing and administrative duties
  25. Maintain a safe and secure working environment
  26. Organize workflow to meet deadlines.
  27. Ability to work safely and follow all safety policies and procedures.
  28. Wear all required Personal Protective Equipment (PPE) to ensure a safe work environment.
  29. Clean and respond to any spills immediately.
  30. Follows all Sanitation Standard Operating Procedures (SSOP), Good Manufacturing Practices (GMP) and procedures that relate to sanitation, food safety and pest control.
  31. Sweep and clean to maintain required level of cleanliness.
  32. Participate in daily Flex & Stretch.
  33. Perform other duties as assigned.

Supervisory Responsibility
This position has no supervisory responsibilities.

Work Environment
This job operates in a warehouse environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This role routinely also uses standard warehouse equipment such as pallet jacks, hand trucks, and forklifts. Must be able to perform work at various heights, up to but not limited to 15 feet above the ground.

Position Type/Expected Hours of Work
This is a full-time, non-exempt (hourly) position, and schedule hours of work and days will be based to support our Monday through Friday, 7:30 a.m. to 4:30 p.m.

Qualifications

To perform this job successfully, the individual must be able to perform each essential duty and responsibility in a safe and satisfactory manner.  Work under minimal supervision, apply logic and reasoning to solve complex problems, use sound judgement and discretion in performing work duties. Requires excellent written and oral communications skills. Ability to listen, persuade, and influence skills in dealing with all levels of employees, clients and vendors.

This is largely a sedentary role. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear; however, this position requires activities involving being around moving machinery, exposure to marked changes in temperature and humidity, and exposure to dust, fumes, and gases. Must be able to lift up to 50 lbs on a regular basis and up to 75 lbs on occasion.

Required Education and Experience
High school diploma

Bachelor’s Degree preferred and/or in process or equivalent experience of 2 years in warehouse.

  4. Ability to balance and prioritize multiple tasks
